[Workplace] Book a Resource for an Employee (Admin Portal)

Create bookings for meeting rooms, hot desks, and other resources from the booking calendar.

As an admin, you can book any resource for any employee in your organization from the Admin Portal. This is useful when you need to arrange a desk or room on someone's behalf without them having to do it themselves.

Visitor bookings are not available from the Admin Portal. To book for an external visitor, use the Web Portal or mobile app instead. Book a resource for a colleague or visitor (Web Portal and Mobile App) →


Create a booking on the Admin Portal

To create a new booking from the calendar:

  1. Open the Workplace Admin Portal and go to Workplace > Manage Bookings or Meeting Rooms > Manage Bookings.

  2. Select the resource type from the dropdown at the top left.

  3. Set the date and click an empty time slot on the calendar next to the resource you want to book. Alternatively, click Book.

  4. In the New Booking dialog, fill in the following:

    • Team and Employee (required).

    • Booking title (optional).

    • Meeting room — a different room can be selected here if needed.

    • Date, start time, and end time.

    • Preparation time (optional) — blocks time before the booking starts.

    • Repeat (optional) — select this to create a recurring booking. Choose daily, weekly, or monthly.

    • Invite attendees (optional) — select this and choose guests from the field that appears.

    • Private (optional) — select this to make the booking visible only to you.

  5. Click Book Now.
