Without a kiosk, employees who arrive at the office without a booking must book on their phone or ask the office team for a free desk. A Workplace kiosk turns an office tablet into a shared screen for bookings and Who's In. You set up each kiosk once on the Admin Portal. After the setup, the tablet shows the kiosk for the whole workday.
Each kiosk belongs to a position on one of your floor plans. The kiosk uses that position to show employees a 'You are here' marker.

Before you begin
Confirm these requirements before you set up a kiosk. If one requirement is missing, the kiosk cannot show a floor plan or accept bookings.
Your Workplace plan includes the Kiosk app.
The location has a floor plan with bookable resources. Add your office maps →
The tablet meets the device requirements. Check the device requirements for kiosks →
The tablet's operating system is up to date, so the browser runs the Kiosk app correctly.
Activate the Kiosk app
The Kiosk app is off until an admin activates it for the organization. Activate the Kiosk app before you add a kiosk.
Go to Settings > Advanced Settings > Employee Apps.
Select OfficeRnD Kiosk App.
Click Update to activate the Kiosk app for your organization.
Add a kiosk to a floor plan
The Kiosk app is now active, but no tablet can show it yet. A kiosk exists only after you place it on a floor plan.
Add 1 kiosk for each tablet. Each kiosk gets its own URL, so each tablet shows its own 'You are here' marker.
Go to Workplace > Locations, then click the floor plan image for the floor where the tablet stands. The floor plan editor opens.
In the toolbar, click Add Kiosk.
Click the tablet's position on the floor plan. The kiosk icon is added at that position, and employees see that position as the 'You are here' marker.
Click the kiosk icon and select Edit Kiosk. The Edit Kiosk dialog opens.
Enter a name for the kiosk. A name that describes the position helps admins tell the kiosks on one floor apart. For example, enter "First Floor Center".
Select the kiosk display language. Employees see the Kiosk app in this language on this tablet.
Click Update to save the kiosk.
Open the kiosk on the tablet
The kiosk now exists on the floor plan, but the tablet does not show it yet. The kiosk URL connects the tablet to the kiosk.
Important: Set the correct time zone on the tablet before you open the kiosk. An incorrect time zone on the tablet gives incorrect start and end times to bookings employees make at the kiosk.
Do these steps on the tablet.
Open a browser and log in to the Admin Portal.
Go to Workplace > Resources and open the Kiosks tab. The list of your kiosks opens.
Tap the kiosk for this tablet. The Edit Kiosk dialog opens.
Tap Copy URL to copy the kiosk URL.
Open a new browser tab and paste the kiosk URL. The Kiosk app opens.
If the Kiosk app asks you to log in, log in with your OfficeRnD admin credentials.
Close the Admin Portal tab. Leaving an Admin Portal tab open gives anyone at the tablet access to your admin settings.
Lock the tablet to the Kiosk app
The tablet now shows the kiosk, but an employee can still leave the browser and open other apps. Kiosk mode restricts the tablet to 1 app, so employees cannot exit the Kiosk app.
Turn on kiosk mode with the built-in feature of the tablet:
On an Android tablet, use screen pinning. Pin a screen on Android ↗︎
On an iPad, use Guided Access. Turn on Guided Access on iPad ↗︎
The kiosk is now ready for employees. See what employees can do at a kiosk →
Best practices
These practices keep each kiosk accurate and secure.
If a floor has more than 1 kiosk, then give each kiosk a name that describes its position. The name tells admins which kiosk runs on which tablet.
If a tablet sits in an area visitors can reach, turn on kiosk mode before you leave the tablet. Kiosk mode keeps visitors out of the browser and out of other apps.
If you change the look of the Web Portal, then check 1 kiosk after the change. Every kiosk uses the Web Portal logo and theme.
FAQs
Why do kiosk bookings show the wrong time?
Kiosk bookings show the wrong time when the tablet's time zone is incorrect. Set the correct time zone in the tablet settings, then reload the kiosk URL.
Where do I find the URL of a kiosk later?
The URL of each kiosk is in the Edit Kiosk dialog. Go to Workplace > Resources, open the Kiosks tab, and click the kiosk. Then click Copy URL.
Can 2 tablets use the same kiosk URL?
Each kiosk URL belongs to 1 position on the floor plan. If 2 tablets use the same kiosk URL, both tablets show the same 'You are here' marker. To show the correct position on each tablet, add 1 kiosk for each tablet.
