Employees who arrive at the office without a booking must find a free desk or ask where a colleague sits before they can start work. The Workplace Kiosk app puts your office floor plan on a shared touchscreen. At the kiosk, employees see who is in today and book a hot desk or a meeting room.

Each kiosk is a web page that runs in the browser of a touchscreen device. An admin places each kiosk on a floor plan. The kiosk then shows employees a 'You are here' marker at that position.

What employees can do at a kiosk

The kiosk is built for the moment an employee arrives at the office. Employees use the kiosk to do these tasks:

  • Book a hot desk for the whole day or for several hours.

  • Book a meeting room for later in the day or for the earliest available time.

  • See which colleagues are in the office today and where each colleague sits.

To book from the kiosk, the employee taps an available hot desk or meeting room and selects the booking duration. Then the employee taps Book. To finish the booking, the employee types their name and selects their profile in the list.

An employee can book a resource from the kiosk only if they have permission to book that resource. Control who can book each resource →

To see who is in the office today, the employee taps Who's In. The employee can then tap a colleague to highlight that colleague's seat on the floor plan.

Which actions need the Web Portal or the mobile app?

The kiosk handles quick bookings at the office. Employees use the Web Portal or the Workplace mobile app for these actions, because the kiosk does not support them:

  • Make a recurring booking.

  • Add catering or meeting services to a booking.

  • Add attendees to a meeting room booking.

How the kiosk looks

Each kiosk uses your Web Portal logo and theme. You cannot change the look of the Kiosk app separately. To change the look of every kiosk, customize the Web Portal. Customize the Web Portal →

You can set a different display language for each kiosk. For example, a kiosk near a team that works in German can show the Kiosk app in German.

Choose a device for each kiosk

The Kiosk app is a web app. You cannot download the Kiosk app from the App Store or Google Play. Any touchscreen device with a web browser can run the Kiosk app, such as an Android tablet, an iPad, or a touchscreen TV. Supported browsers include Chrome, Edge, and Safari.

Use the next table to choose a tablet. A screen of at least 10 inches shows the floor plan at a size that employees can read and tap.

Device

Minimum version

Recommended screen size

Android tablet

Android 6.0 or later

10.1 inches or larger, for example, a Samsung Galaxy Tab

iPad

iOS 13.4 or later

10.9-inch Apple iPad

Mount each device securely in a stand (for example, you can use a Bosstab stand ↗︎). Give each device a reliable internet connection and a power supply, so the kiosk stays online for the whole workday.

Set up your first kiosk

You now know what the kiosk does and which device to use. An admin sets up each kiosk once on the Admin Portal. The setup activates the Kiosk app, places the kiosk on a floor plan, and opens the kiosk on the tablet. Set up a Workplace kiosk on a tablet →

FAQs

Do employees log in to the kiosk?

Employees do not log in to the kiosk. An admin logs in once on each tablet. When employees book, they type their name and select their profile in the list.

Why can an employee not book a desk at the kiosk?

An employee cannot book a desk at the kiosk if they don't have permission to book that desk. The kiosk uses the same booking permissions as the rest of Workplace. Check the desk's booking policy and the employee's location access.

Can I change the logo or the colors of the kiosk?

The kiosk logo and colors come from your Web Portal theme. To change the logo or the kiosk colors, customize the Web Portal.
