Rewriting an email template from scratch, and getting the colors, fonts, and structure to actually match your brand, can eat up hours you don't have. Our support team can make those changes for you, from a small wording fix to a full redesign. You send an example of what you want, and a specialist builds it into your template.

This service covers the email templates OfficeRnD Workplace sends to your employees and admins. Workplace doesn't generate invoices, contracts, or other documents, so email templates are the only templates you can request changes to.


Before you start

Gather these before you request anything, so support has everything it needs on the first pass.

  • You need Admin access to Workplace to view and select templates.

  • Your support plan sets how many requests are free each month. Check the plan comparison below before you submit anything.

  • Have an example file or mockup ready. You'll need it to describe the change you want.

A template request covers building a template you don't have yet or redesigning an existing one. An edit request covers a change to a template that has already been delivered, such as an updated color or a new line of text. Changes you ask for after a completed request goes live count as a new edit request.


Find your email templates in Workplace

Your plan tells you how many free requests you get, but you still need to decide which templates to change before you make any requests.

  1. Go to Settings > Advanced Settings > Email Templates.

  2. Review the available templates and decide which ones you want to change.


Show support the result you want

Once you know which template to change, describe the result you're after so support can match it exactly. Give an example in one of these forms:

  • Example file. This is the best option, since it gives support an exact idea of what the email should look like. Use a .pdf, .doc (.docx), or image file.

  • Mockup. A rough version works too. Generate a .pdf or take a screenshot of the current template, then mark it up to show the changes you want.


List any extra details

An example shows what the design should look like, but the support team also needs the rules behind it.

  • Note the default formatting, color scheme, fonts, and sizes, and decide whether any of them should change.

  • List any properties specific to your business or country that you want added to the template. For each one, explain what it means and what value it should show.

What happens after you submit

A support specialist reviews your request after you submit it and reaches out if they need more information. Once they have everything they need, they keep you updated on progress. The specialist working on your request has confirmed your final ETA, as timing depends on the complexity of the change.

A few habits make requests faster to fulfill and easier to get right the first time.

  • If you manage multiple locations with different branding, submit one example per template so support can match each location correctly.

Can I edit email templates myself instead of asking support?
You can edit most email templates yourself, without submitting a request. Learn how to edit templates and add custom properties to get to know the editor and the code view. Ask support when you want a redesign, or a change beyond what the built-in editor supports.

Does a small text change still count as a full request?
A small text change still counts as one edit request against your plan's monthly allowance. If you've already used your free edits for the month, extra edits are billed at $/€/£50 per request no matter how small the change is.

How long does a customization request take?
There's no fixed turnaround time for every request, because it depends on how complex the change is. The support specialist working on your request confirms a specific ETA once they've reviewed your example and details.
